Responsible Use Framework

Estimatics is used by professionals whose work directly affects property owners, insurers, and courts. The responsible use of the Platform — and the AI tools within it — is fundamental to preserving the integrity of the claims process and the trust of everyone who relies on accurate property documentation.


1. The Professional's Responsibility

The Estimatics Platform accelerates documentation workflows, but it does not carry professional responsibility. The licensed adjuster, inspector, contractor, or attorney using the Platform is responsible for:

  • The accuracy of every photograph and piece of evidence submitted
  • The completeness of documentation for each claim or inspection
  • The professional review of all AI-generated outputs before use
  • Compliance with applicable licensing, regulatory, and ethical standards

AI features are tools. Professional judgment is irreplaceable.


2. Evidence Standards

2.1 Document What Exists

The Platform must be used to document actual property conditions. Users must not submit photographs or evidence that misrepresents the condition of a property — whether through staged damage, selective capture, or any other means.

2.2 Completeness

A defensible inspection requires comprehensive coverage. The Platform's quality guidance (photo coverage requirements, Defendibility Score on CERTIFY) is designed to help users achieve complete documentation. Deliberately incomplete documentation to support a predetermined outcome is a violation of this framework and may constitute fraud.

2.3 Contemporaneous Capture

Evidence should be captured at the time of inspection. Submitting photographs taken at a different time or location than claimed is prohibited.


3. AI Output Review

3.1 Scope Review

Every AI-generated scope item must be reviewed by the user before the scope is submitted or shared with any party. Users should verify that each scope item is supported by documented evidence and reflects actual damage.

3.2 Finding Validation

AI damage findings are starting points. Users should review each finding against the underlying photograph, add findings the AI may have missed, and remove findings that do not reflect actual damage.

3.3 Narrative Review

Report narratives generated by AI are professional drafts. Users should review and edit narratives to ensure they accurately reflect their professional assessment — not just the AI's interpretation of the evidence.


4. Conflict of Interest

The Platform must not be used in ways that create or obscure conflicts of interest. Specifically:

  • Adjusters must not use the Platform to generate documentation that systematically favors one party to a claim over another without basis in evidence
  • Contractors must not inflate or fabricate scope items using AI-assisted tools
  • Professionals must disclose any material relationship with parties to a claim that could affect objectivity

5. Regulatory Compliance

5.1 Licensing

Users must maintain all licenses required to perform their role in the jurisdiction where they operate. Estimatics does not verify user credentials or licensure.

5.2 State Insurance Regulations

Public adjusters, staff adjusters, and other regulated professionals must comply with all applicable state insurance regulations, including those governing documentation standards, fee disclosure, and prohibited practices.

5.3 Court and Appraisal Proceedings

Users intending to use Platform outputs in litigation, appraisal, or regulatory proceedings must ensure that their use of AI-assisted tools is properly disclosed as required by applicable procedural rules. The Estimatics Certified Evidence feature and AI Disclosure documentation are available to support such disclosures.


6. Data Privacy in the Field

When capturing evidence at a property, users should:

  • Limit photographs to areas relevant to the claimed damage
  • Avoid capturing unnecessary images of personal property, personal identification documents, or individuals
  • Obtain appropriate consent when required by state law for entry and documentation
  • Handle any personally identifiable information captured incidentally with appropriate care
