Account Deletion Policy

This policy describes the process for deleting your Estimatics account, the data that is retained and removed, and the timeline for permanent deletion.
1. Who Can Delete an Account
1.1 Individual User Account
Any user may delete their own account by following the process described in Section 2.
1.2 Organization Account
Only the Super Admin of an organization may delete the organization account and all associated data. Deleting an organization account affects all users in that organization.
1.3 Individual User Leaving an Organization
An individual user who leaves an organization has their account deactivated by an Admin. Their data (jobs, notes, markups) remains associated with the organization. The individual may request export of their personal information separately.
2. How to Delete Your Account
2.1 Self-Service Deletion (Web Dashboard)
- Sign in to the Platform at app.aiestimatics.com
- Navigate to Settings → Billing → Subscription
- Click Cancel Subscription to end your active subscription
- After cancellation, navigate to Settings → Account
- Click Delete Account
- Confirm by entering your account email address
- Your account enters the deletion queue
2.2 Deletion Request by Email
If you are unable to access your account, you may submit a deletion request to: legal@aiestimatics.com
Include your registered email address and organization name. We will verify your identity before processing the request.
3. Data Export Before Deletion
We strongly recommend exporting your data before initiating account deletion. Once the permanent deletion window closes, data cannot be recovered.
To export your data:
- Go to Settings → Data Export
- Select the data types to export (jobs, media, reports, notes)
- Click Generate Export
- Download the export file within 7 days (exports expire after 7 days)
Exports include: all job metadata, photographs and videos, generated reports, scope documents, and notes.
4. Deletion Timeline
4.1 Immediate Actions (upon deletion request)
- Account login is disabled
- Your name and email are removed from the active user directory
- Your profile is no longer visible to other users
4.2 90-Day Retention Window
Your Content — jobs, photographs, videos, reports, and notes — is retained for 90 days following your deletion request. During this window:
- You may reactivate your account by contacting support@aiestimatics.com
- You may request an export of your data
- Your data is not visible to other users and is not actively processed
4.3 Permanent Deletion (Day 91+)
After the 90-day retention window, the following is permanently and irreversibly deleted:
- All job records and associated metadata
- All uploaded photographs and videos
- All generated reports, scopes, and estimates
- All notes and annotations
- Account profile information
- Billing history (subject to Section 5 below)
Permanent deletion cannot be reversed.
5. Data Retained After Deletion
Some data may be retained after permanent deletion for the periods described below:

This retained data is de-identified or maintained in systems not accessible to general Platform users.
6. CERTIFY Plan: Certified Evidence Packages
If you are on the CERTIFY plan, certified evidence packages associated with active claims or legal proceedings may be subject to legal holds. If you have received any litigation hold notice or are involved in active legal proceedings that reference Estimatics-generated evidence, contact legal@aiestimatics.com before deleting your account to understand your obligations.
7. Reactivation
You may reactivate a deleted account within the 90-day retention window by contacting support@aiestimatics.com. Reactivation requires payment of any outstanding balance and agreement to current Terms of Service. After the 90-day window, account reactivation is not possible.
