Billing & Subscription Policy

This Billing & Subscription Policy governs all financial transactions between you and Estimatics, Inc. in connection with your use of the Platform. By subscribing to any paid plan, you agree to the terms set forth in this policy.
1. Subscription Plans
1.1 Available Plans

Annual pricing reflects approximately 25% savings compared to monthly billing. Annual subscriptions are billed as a single upfront payment.
1.2 Plan Features
Features included in each plan are described at aiestimatics.com/pricing and in the Platform. Features are subject to change with 30 days' advance notice to existing subscribers.
1.3 Team Members
All plans include unlimited team members at no additional per-seat cost.
2. Pay-Per-Project Pricing
For users who require higher-tier features on a single job without upgrading their subscription, Estimatics offers pay-per-project pricing:

Pay-per-project charges apply only to the specific job for which they are purchased. They are non-refundable once the job has been processed at the elevated tier.
3. Billing and Payment
3.1 Payment Method
You must provide a valid credit or debit card to subscribe to any paid plan. We accept Visa, Mastercard, American Express, and Discover. Payments are processed by Stripe, Inc.
3.2 Billing Cycle
Monthly subscriptions are billed on the same calendar date each month beginning from your subscription start date. Annual subscriptions are billed on the same date each year.
3.3 Automatic Renewal
All subscriptions renew automatically at the end of each billing cycle unless cancelled. Annual subscriptions renew for another full year.
3.4 Invoice
An invoice is emailed to the Super Admin's registered email address on each billing date. Invoices can also be accessed in the Platform under Billing → Invoices.
3.5 Failed Payments
If a scheduled payment fails, we will attempt to collect payment three times over a three-day period. If payment cannot be collected, your account will be placed in a limited state. Access to new job creation and AI features will be suspended until payment is resolved. Existing data remains accessible.
4. Upgrades
4.1 Immediate Availability
Plan upgrades take effect immediately upon payment confirmation. New features are available in the Platform within seconds of the upgrade processing.
4.2 Proration
When you upgrade mid-billing cycle, you are charged the prorated difference between your current plan cost and the new plan cost for the remaining days in the cycle. Your billing date does not change.
Example: You are on FIELD at $32/month. On day 15 of a 30-day cycle, you upgrade to SCOPE at $69/month.
- Credit for 15 unused days on FIELD: ~$16.00
- Charge for 15 remaining days on SCOPE: ~$34.50
- Net charge on upgrade day: ~$18.50
Subsequent billing cycles are at the full SCOPE rate of $69/month.
5. Downgrades
5.1 End-of-Period Downgrade
Plan downgrades take effect at the end of your current billing period. You retain access to your current plan's features until that date.
5.2 Data Preservation
All jobs, media, and reports created under a higher-tier plan are preserved upon downgrade. Access to features that require a higher tier (e.g., AI findings, branded reports) becomes read-only on the downgraded plan.
5.3 Annual to Monthly
Switching from annual to monthly billing takes effect at the end of the current annual term.
6. Cancellation
6.1 How to Cancel
You may cancel your subscription at any time in the Platform under Settings → Billing → Cancel Subscription. Cancellations must be submitted through the Platform; support agents cannot cancel subscriptions on your behalf.
6.2 Effect of Cancellation
Upon cancellation, your subscription remains active through the end of the current billing period. After that date, your account enters a read-only state.
6.3 Data Retention After Cancellation
Your data is retained for 90 days following the end of your final paid billing period. During this window, you may download your jobs, photos, reports, and other Content. After 90 days, all data is permanently deleted and cannot be recovered.
6.4 Annual Subscriptions
If you cancel an annual subscription, access continues through the end of the paid annual term. No refunds are issued for the unused portion of an annual term.
7. Refunds
7.1 General Policy
Subscription fees are non-refundable except where required by applicable law.
7.2 Billing Errors
If you believe you were charged in error, contact support@aiestimatics.com within 30 days of the charge. We will investigate and issue a credit or refund if a billing error is confirmed.
7.3 Service Outages
In the event of extended service unavailability (greater than 24 consecutive hours) caused by Estimatics, we will provide a prorated service credit for the affected period upon request. Credits are applied to future billing cycles and are not redeemable for cash.
8. Price Changes
We may adjust subscription prices with at least 60 days' advance notice to existing subscribers. Price changes take effect at the next renewal date following the notice period. Continued use of the Platform after a price change takes effect constitutes acceptance of the new pricing.
9. Taxes
All stated prices are exclusive of applicable taxes, including sales tax, VAT, and GST. You are responsible for all applicable taxes arising from your use of the Platform. Where required by law, Estimatics will collect and remit taxes on your behalf.
