Estimatics, Inc. ("Estimatics," "we," "us," or "our") is committed to protecting the privacy of our users. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you use the Estimatics platform ("Platform").


1. Information We Collect

1.1 Account Information

When you register, we collect your name, email address, job title, phone number, and organization details.

1.2 Professional and Property Information

In the course of using the Platform, you may submit information about properties under inspection, including addresses, GPS coordinates, photographs, videos, and damage assessments. This information is submitted by you as a professional user and is processed on your behalf.

1.3 Usage Data

We automatically collect information about how you use the Platform, including log data, device identifiers, browser type, operating system, IP address, pages viewed, and features accessed.

1.4 Location Data

The Estimatics iOS app collects precise GPS location data when you capture photos and videos in the field. Location data is embedded in media files as metadata to support evidence integrity and property mapping features. Location collection requires your explicit permission and can be disabled in your device settings (though doing so will limit Platform functionality).

1.5 Payment Information

Payment information is collected and processed by Stripe, Inc. Estimatics does not store full credit card numbers or CVV codes.

1.6 Communications

If you contact us for support or feedback, we retain the contents of your communications.


2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Platform
  • Process property inspections and generate reports, scopes, and analyses
  • Power AI features including damage detection, geometry generation, and scope creation
  • Authenticate users and maintain account security
  • Process billing and subscription management through Stripe
  • Send transactional communications related to your account and jobs
  • Respond to support requests and feedback
  • Comply with legal obligations
  • Detect and prevent fraud, abuse, and security incidents
  • Analyze aggregate usage patterns to improve the Platform

We do not sell your personal information to third parties.


3. AI Processing

The Platform uses artificial intelligence systems, including models provided by OpenAI and Anthropic, to process photographs, videos, and other Content you submit. This processing occurs to power features such as:

  • Damage detection and classification
  • Scope item generation from photographs
  • Report narrative generation
  • Property geometry analysis

Data submitted to AI processing is used solely to provide the requested functionality. It is not used to train third-party AI models without your consent. See our AI & Automated Systems Disclosure for details.


4. How We Share Your Information

4.1 Service Providers

We share data with trusted third-party service providers who assist in operating the Platform, including:

  • AWS (Amazon Web Services): Cloud infrastructure and data storage (US East region)
  • Stripe: Payment processing
  • OpenAI: AI model processing for certain Platform features
  • Anthropic: AI model processing for certain Platform features

All service providers are contractually required to protect your data and use it only for the purposes for which it was shared.

4.2 Your Organization

If you use the Platform as part of an organization account, your activity, jobs, and content may be visible to administrators and other authorized members of your organization.

4.3 Legal Requirements

We may disclose your information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

4.4 Business Transfers

If Estimatics is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your personal information is transferred and becomes subject to a different privacy policy.

4.5 With Your Consent

We may share your information with third parties when you have given us explicit consent to do so.


5. Data Retention

We retain your account information and Content for as long as your account is active. Upon account termination or cancellation, we retain your data for 90 days to allow you to export it, after which it is permanently deleted from our systems.

Aggregated, de-identified data may be retained indefinitely for product analytics and improvement purposes.

Certain data may be retained longer if required by applicable law or if necessary for the resolution of disputes or enforcement of agreements.


6. Data Security

We implement technical and organizational security measures designed to protect your information, including:

  • TLS encryption for all data in transit
  • AES-256 encryption for data at rest
  • Access controls and role-based permissions
  • Regular security assessments
  • Employee security training

No system is perfectly secure. While we take reasonable precautions, we cannot guarantee absolute security. You are responsible for maintaining the security of your account credentials.


7. Your Rights and Choices

7.1 Access and Correction

You may access and update your account information at any time through the Platform's profile settings.

7.2 Data Export

You may download your Content and job data through the Platform's export tools at any time.

7.3 Account Deletion

You may request deletion of your account and associated data. See our Account Deletion Policy for details.

7.4 Location Data

You may disable location access in your iOS device settings. Note that disabling location will limit evidence integrity features and Geometry module functionality.

7.5 Communications

You may opt out of non-essential email communications through your notification preferences in the Platform.


8. California Privacy Rights

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. 9. Children's Privacy

The Platform is not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors. If we become aware that we have collected personal information from a minor, we will take steps to delete it promptly.


10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Platform with at least 30 days' advance notice. Your continued use of the Platform after the effective date of any change constitutes acceptance of the updated policy.
