Workflow Types and Job Statuses
A job doesn't have one lifecycle — it has the lifecycle its workflow type defines. A Quick Quote and a full insurance claim both move left to right on the same board, but they pass through different stages, and neither passes through all eighteen statuses that exist.
You choose the workflow when you create the job, and you can't change it afterward.
The five workflows
| Workflow | Purpose | Assignment required |
|---|---|---|
| Insurance Claim — Inspection & Estimate | Full claim lifecycle: field inspection, estimate, delivery | Yes |
| Insurance Claim — Inspection Only | Field inspection and documentation. No estimate | Yes |
| Insurance Claim — Estimate Only | Scope and estimate. No field inspection | No |
| Quick Quote | Contractor workflow: capture, estimate, send to client | No |
| Work Order | Full contractor workflow with scope, execution, and billing | Yes |
Quick Quote and Work Order are billable workflows — they carry Invoiced and Paid as required stages. The claim workflows treat billing as optional.
The eighteen statuses
Every status that exists in Estimatics:
Draft · New · Inspection Assigned · Inspection Scheduled · Inspection in Progress · Inspection Completed · Estimating · Completed · Delivered · On Hold · Incomplete · Disputed · Settled · Closed · Cancelled · Sent · Invoiced · Paid
Two of them mean things that are easy to confuse:
- Inspection Completed means the field work is done.
- Completed means the deliverable is ready.
Every workflow that delivers something passes through Completed — that's the stage the delivery date and the report pipeline hang off.
What each workflow actually uses
A · marks a stage the workflow can skip.
Insurance Claim — Inspection & Estimate
New → Inspection Assigned· → Inspection Scheduled· → Inspection in Progress → Inspection Completed → Estimating· → Completed → Delivered → Disputed· → Settled· → Invoiced· → Paid· → Closed·
The full arc, including the post-delivery states — Disputed and Settled exist for the claims that don't end at delivery.
Insurance Claim — Inspection Only
New → Inspection Assigned → Inspection Scheduled· → Inspection in Progress → Inspection Completed → Completed → Delivered → Invoiced· → Paid· → Closed·
No Estimating stage. The deliverable is the documentation.
Insurance Claim — Estimate Only
New → Estimating → Completed → Delivered → Disputed· → Invoiced· → Paid· → Closed·
No inspection stages at all. Desk work on a file that already has its evidence.
Quick Quote
New → Inspection in Progress → Completed → Sent → Invoiced· → Paid· → Closed·
The shortest sequence, and the only claim-adjacent one that uses Sent — a quote goes to a client, not a carrier. Quick Quote jobs also hide the Geometry and Analyze tabs.
Work Order
New → Inspection Assigned → Inspection Scheduled· → Inspection in Progress → Completed → Invoiced → Paid → Closed
Billing is not optional here. A work order that isn't invoiced and paid isn't finished.
The three escape hatches
Three statuses sit outside every sequence and are reachable from any workflow at any point:
| Status | What it means |
|---|---|
| On Hold | Paused. Nothing is wrong; the work isn't moving |
| Incomplete | Stalled on something missing — access, documents, a decision |
| Cancelled | It isn't happening |
They're skippable everywhere, by design: they describe reality, not progress.
Draft
Draft is not part of any sequence. Drafts are jobs that were never finished being created — they live in their own flow and never reach the workspace. Finish a draft and it enters its workflow at New.
What a status changes
Some fields lock as a job advances. Workflow type and customer type are fixed at creation. Property address, damage type, and job type freeze once the inspection is in progress.
Some statuses block removing a team member. If somebody holds active jobs — anything in New, Inspection Assigned, Inspection Scheduled, Inspection in Progress, Inspection Completed, or Estimating — they can't be removed until those jobs are reassigned. The refusal names the jobs.
Closed is how you archive. A closed job leaves the active dashboard with all its media, notes, and reports intact, and can be reopened.
Frequently asked questions
Can I change the workflow after creating the job? No. Create the job under the right workflow; it's the one field the form won't let you take back.
Why doesn't my job have an Estimating status? Because its workflow doesn't include one. Inspection Only and Quick Quote both skip it.
What's the difference between Delivered and Sent? Delivered is the claim workflows' handoff. Sent is Quick Quote's — a quote sent to a client.
Can a job go backwards? Yes. Statuses are a sequence, not a ratchet.
